Wedding Services

SoCal Vows will provide the services agreed to in writing between the Client and SoCal Vows ("Services").

Each category of Services (for example, photography or floral arrangements) may be subject to additional terms specific to that Service. Those terms are provided in a Schedule to this Agreement, which is incorporated herein by reference.

SoCal Vows will determine the manner and means by which the Services are performed and will always act as an independent contractor. SoCal Vows will provide all materials, equipment, and tools necessary to perform the agreed Services.

Fees, Payments & Promotions

The Client agrees to pay all fees communicated through the invoice.

Payment Schedule

  • 25% Reservation Fee due at booking (non-refundable)

  • 50% of the remaining balance due 60 days before the event

  • Final balance due 15 days before the event

Events Booked Within 60 Days

  • 50% due upon booking

Events Booked Within 15 Days

  • 100% of the invoice is due upon booking.

Late payments may incur additional fees.

Promotions

  • Promotions apply only to the original purchase.

  • Promotions cannot be combined.

  • Promotions do not apply to future changes or upgrades.

Gratuity

Standard, Flex, and Complete Packages:

  • 15–20% gratuity due on the day of the event.

Intimate Packages:

  • 10–15% gratuity due on the day of the event.

Gratuity is not included in package pricing.

Wedding Delays

Please ask guests to arrive at least 30 minutes before the ceremony.

If the ceremony begins:

  • More than 30 minutes late, a $150 late fee applies.

  • More than 45 minutes late, SoCal Vows may:

    • Cancel the Agreement without refund, or

    • Charge $250 per additional hour.

Late fees must be paid before the ceremony begins.

Sunset Photography

For sunset photos, couples must arrive at the location at least 30 minutes before sunset.

Late arrival may result in:

  • Reduced image quality

  • Cancellation of sunset photos without refund

Sunset photos are taken up to 20 minutes after sunset.

Third-Party Vendors

If SoCal Vows is hired as the wedding photographer, SoCal Vows will be the exclusive photographer for the event.

If another photographer is hired:

  • SoCal Vows will not provide photography services.

  • Package pricing will not be adjusted.

SoCal Vows is not responsible for the setup, teardown, or cleanup of vendors not contracted through SoCal Vows.

Changes & Downgrades

Changes to the following require written approval:

  • Wedding date

  • Time

  • Location

  • Service package

The new wedding date must be within 6 months of the original date.

Additional fees may apply due to:

  • Travel

  • Venue

  • Downgrades

  • Additional planning

Clients are responsible for any new permits or licenses.

Package Downgrades

More than 60 days before the event:

  • A new Reservation Fee applies.

Within 60 days:

  • Client remains responsible for the original package price.

  • Reservation Fee cannot be transferred.

Cancellation Policy

Clients may cancel at any time.

However:

  • Reservation Fees are non-refundable.

  • All payments already made are forfeited.

  • Cancellations within 60 days require payment in full.

If payment is not received by the event date, SoCal Vows may cancel the event without refund.

Rain & Inclement Weather

If weather becomes an issue, the Client may:

  • Rent weather protection (canopies, heaters, etc.) at their own expense, or

  • Reschedule to one day before or after, subject to availability.

Weather is not considered a valid reason for cancellation.

For safety reasons, SoCal Vows reserves the right to modify or remove portions of the Services if necessary.

Indemnification

Each party agrees to defend and hold harmless the other party from claims, damages, losses, liabilities, legal fees, and expenses resulting from:

  • Breach of this Agreement

  • Property damage

  • Personal injury

  • Gross negligence

  • Fraud

  • Willful misconduct

Agreement Term & Termination

This Agreement begins on the Effective Date and continues until Services are completed.

Either party may terminate:

  • Up to 60 days before the event.

  • For breach of contract after 20 days' written notice if the breach is not corrected.

If SoCal Vows terminates the Agreement, all payments beyond the Reservation Fee will be refunded.

Content Ownership & Release

SoCal Vows may create:

  • Photographs

  • Video

  • Audio

  • Graphics

  • Social media content

Clients receive digital copies of their images.

SoCal Vows retains printing rights and may use content for promotional purposes in accordance with this Agreement.

Rehearsals

Rehearsals are available:

  • Subject to availability

  • At an additional cost

Additional travel expenses may apply.

Equipment & Supplies

SoCal Vows provides setup, teardown, and cleanup for equipment included in purchased packages.

Equipment supplied by third parties remains their responsibility.

Travel & Destination Weddings

Destination weddings throughout California are available.

Additional charges may include:

  • Transportation

  • Lodging

  • Meals

  • Per diem

  • Travel expenses

These costs will appear on the invoice.

Meals

If SoCal Vows is on-site for more than 4 hours, the Client agrees to provide meals for staff and subcontractors.

Client Responsibilities

The Client confirms they:

  • Have authority to enter this Agreement.

  • Will obtain all required permits and permissions.

Insurance

SoCal Vows maintains all required insurance.

Clients are responsible for any insurance required by the venue or permit.

Legal Provisions

The Agreement also includes provisions covering:

  • Entire Agreement

  • Independent Contractor Status

  • Governing Law (California)

  • Assignment

  • Amendments

  • Notices

  • Severability

  • Force Majeure

  • Counterparts

These provisions remain fully enforceable as outlined in the original Agreement.
